Using Gmail With a Business Email Address
Distinguish Google Workspace, consumer Gmail and the Gmail mobile app before connecting email.
Google Workspace, consumer Gmail in a browser and the Gmail mobile app are different products. Their external-account and sending options change over time and by account type. Choose a supported configuration instead of assuming all Gmail interfaces host outside mailboxes.
Practical steps
- Decide whether you want Google Workspace to host the domain or a supported Gmail app to access a mailbox hosted elsewhere. These require different DNS and account arrangements.
- If keeping hosted email, check the current external-account capabilities of your specific app. Obtain provider-confirmed IMAP, SMTP and encryption settings before connecting.
- If moving hosting to Workspace, follow the verified Workspace domain setup and migration process. Preserve existing mail and confirm all sending systems before changing MX records.
- Test the From address, reply address and authentication of sent messages. An alias or forwarding rule alone does not configure authorised outbound sending.
Check the result
Send and receive external test messages and inspect their headers. Confirm that the intended account stores new mail and that replies return to your business address.

Do not rely on retired or unavailable consumer Gmail import features. Forwarding can affect delivery and authentication, so verify the current product documentation and your actual results.
