How to Set Up Hosted Email in Outlook
Use your provider-confirmed IMAP and SMTP settings and test both sending and receiving.
Outlook editions differ, so menu labels and supported account features can vary. Obtain the actual incoming and outgoing server settings from your hosting account before starting; a website address is not necessarily a valid mail-server hostname.
Practical steps
- Collect the mailbox username, IMAP host and port, SMTP host and port, encryption modes and any application-password requirement. Keep passwords out of screenshots or public tickets.
- Open the account-addition flow in your Outlook edition and choose the supported account type. Use manual settings when automatic detection selects the wrong provider.
- Enter the confirmed encrypted connection settings for incoming and outgoing mail. Enable outgoing authentication as instructed by the provider; do not bypass certificate warnings.
- Allow initial synchronisation to finish, then review sent, deleted and archive folder mappings. Keep a backup before removing an old account with local-only mail.
Check the result
Send a test message to an external mailbox and reply. Check that Sent items and deletions appear as expected in webmail and another device, without relying only on Outlook's account-added message.
Before you proceed
Do not switch to unencrypted ports to hide a connection failure. Ask support to investigate hostname, TLS or authentication errors and confirm the settings for your account.
